10. Your rights

Subject to applicable conditions and exemptions, you may request access to your personal information, correction, erasure, restriction, portability or object to processing. Where we rely on consent, you may withdraw it at any time without affecting earlier lawful processing. You have an unconditional right to object to the use of your personal information for direct marketing.

Email owen.jones@ace360group.com to make a request. We may need to verify your identity. If your request concerns information ACE 360 handles only on behalf of a client, we may direct you to that client or pass the request on in accordance with our obligations.

4. Marketing and automated tools

You may opt out of ACE 360’s own marketing at any time by contacting owen.jones@ace360group.com or using an unsubscribe option where provided. We do not sell personal information for others’ independent marketing.

We may use automated technologies to support campaign analysis, audience segmentation and optimisation for clients. This does not mean ACE 360 independently determines whether a person receives a financial product or makes another legal or similarly significant decision about them. If we introduce solely automated decision-making of that kind in our own operations, we will provide the additional information and safeguards required by law.

Privacy Policy

1. Who we are

ACE 360 Communication Ltd (“ACE 360”, “we”, “us”) is a UK marketing and communications agency. This notice explains how we handle personal information when you visit our website, contact us, apply to work with us, or deal with us as a client, prospective client, supplier or other business contact.

Company number: 14098451. Registered office: Hop Exchange, 24 Southwark Street, London SE1 1TY. Website: https://www.ace360group.com. Privacy enquiries: owen.jones@ace360group.com.

ACE 360 is generally the data controller for its own website, recruitment and business-contact information. When we handle personal information under a client’s instructions to deliver marketing, CRM, advertising or analytics services, we may instead act as that client’s data processor. The client’s privacy notice will normally explain its use of that information.

2. Information we collect and where it comes from

We may collect your name, job title, employer, work contact details, correspondence, enquiry details, meeting notes and information about your professional interests or requirements. If you apply for a role, we may receive your CV, portfolio, employment history and recruitment correspondence. We may receive business-contact information directly from you, from your organisation, referrals or publicly available professional sources. We may also receive basic technical information generated when you use our website, such as IP address and browser or device information, to the extent processed by our website provider.

When acting for clients, the information we access depends on the services and the client’s instructions and may include marketing contact, audience, campaign or analytics information. This notice does not replace the relevant client’s notice for its own customers or audiences.

3. Why we use information and our lawful bases

We use business-contact and enquiry information to respond to requests, prepare proposals, maintain professional relationships and operate our agency. Our lawful basis is usually our legitimate interests in running and developing our business; where you personally enter a contract with us, we may rely on steps before entering into, or performance of, that contract.

We use contract, supplier and payment information to deliver services, manage relationships and keep business records. Depending on the activity, our lawful basis is performance of a contract, legitimate interests or compliance with a legal obligation. We use recruitment information to assess applications and manage recruitment, relying on legitimate interests, steps before a contract and relevant legal obligations as appropriate.

We may use contact information for relevant business-to-business communications about ACE 360’s services where permitted by data protection and electronic marketing law. We rely on consent where required, or legitimate interests where permitted. You can object to direct marketing at any time by emailing us. We use security and technical information to protect our website, systems and records on the basis of legitimate interests and, where applicable, legal obligations.

If we ask for information needed to enter into or perform a contract, not providing it may mean we cannot progress an enquiry or deliver the relevant service. Information requested for legal or accounting requirements may be mandatory.

5. Who receives information

Information may be accessed by authorised ACE 360 personnel and, where needed, approved contractors, IT support providers, website hosting and business software providers, accountants, legal advisers and relevant clients or delivery partners. We may disclose information to regulators or authorities when legally required. Where another organisation processes information for us, we seek appropriate contractual and security arrangements.

6. International processing

ACE 360 does not intentionally send personal information overseas as part of its own routine business operations. However, some cloud, website or business software providers may process information or permit support access outside the UK. Where a restricted international transfer takes place, we will use an applicable adequacy arrangement or appropriate UK transfer safeguards as required. You can request further information about applicable safeguards using the contact details above.

7. Website cookies and similar technologies

ACE 360 does not intentionally deploy advertising or analytics cookies on its corporate website. Our website platform may use cookies or similar technologies necessary to provide and secure the site. We will review any additional tools before enabling them and provide information and consent controls where required. You can also manage cookies through your browser settings.

8. How long we keep information

We keep personal information only while it is needed for the purpose collected, taking account of the nature of the relationship, the last meaningful contact, legal and accounting obligations, disputes and security requirements. We periodically review information and delete or anonymise it when it is no longer needed. Business and financial records may need to be retained for applicable statutory periods; unsuccessful recruitment information is reviewed after recruitment concludes and is not kept indefinitely. Client-controlled data is kept or deleted according to the client’s documented instructions and the relevant contract. You may ask us about the criteria applicable to a particular record.

9. Security

We use organisational and technical measures proportionate to the information and risks involved, including limiting access to authorised people and using IT support to maintain business systems. No internet service or electronic storage system is completely risk-free.

11. Complaints

Please contact us at owen.jones@ace360group.com if you have a concern. You may also complain to the Information Commissioner’s Office (ICO) at https://ico.org.uk or 0303 123 1113.

12. Changes

We will review this notice as our services, systems or legal obligations change. The latest version will be published on our website with its update date.
